There are a few steps required to access ResVault, the environment for working with restricted data for research purposes at UF.

Step 1: Collect information

Get a faculty sponsor.

• If you are faculty, you can be your own sponsor.
• If you are student, postdoctoral fellow, or staff you need a faculty sponsor who will approve you being added to some project under her/his supervision and funding.
• People not associated with UF can be sponsored by faculty at UF. They need to go through the extra step of getting a GatorLink login set up with affiliation with UFIT Research Computing. Please email requests to support@rc.ufl.edu.

Classify restriction type.

Identify the project you will be working on and the restrictions on the data associated with that project. There are a few categories that are most common and they are listed here. If your data falls under another category, contact Research Computing at info@rc.ufl.edu for assistance in determining the data category.

• PHI – Protected Health Information (PHI) covered by Health Insurance Portability and Accountability Act (HIPAA)
• FERPA – Family Educational Rights and Privacy Act (FERPA)
• PII – Personal Identifiable Information (PII)
• ITAR – International Trade of Arms Regulation (ITAR) or Export Administration Regulation (EAR)
• CUI – Other Controlled Unclassified Information (CUI)
• IP – Intellectual Property (IP)

Step 2: Take training

Ensure that you have taken the required training listed under each category in myTraining and that you are current. If you do not have the entitlement your request to activate the account will be denied.

Take the ResShield introductory training PRV807 that will show you at a high level what can be done and how it is done inside the secure environment.

Step 3: Create the secure key

Note: The training credential does not appear in myUFL until the day after you take a course in myTraining. Do not take this step until the day after you finish all training.

1. From any workstation and any browser (we recommend Chrome or FireFox) download the tiLauncher from the links at http://www.rc.ufl.edu//services/restricted-data/researchvault/tilauncher/ and follow the instructions.
2. Then connect to gatorvault.rc.ufl.edu using tiLauncher (please note: this will soon change to resvault.rc.ufl.edu). You will be redirected to the GatorLink login page. Login with your GatorLink credentials. Then you will see the ResVault access panel.
3. Then follow the instructions to create a public key and private key pair as described on the video at http://www.rc.ufl.edu/resources/hardware/create-and-register-account/.

Important notes

• You need to make sure you can remember this password. For security reasons this password does not exist on any server. No one else in the world knows it or can reset it. Write the password on a piece of paper and put it in an envelope and store it in a secure place at home. Maybe store a copy in your deposit box in the bank.
• You must also make a copy of the file created and encrypted with that password. Save it on a USB key and a copy on some file system from a UF server. Do not store it in the cloud.

4. Now you must wait for an email from a Research Computing administrator to tell you that your key has been activated.
5. Once you receive this notice, you can use tiLauncher to connect again and you take the steps described in http://www.rc.ufl.edu/resources/hardware/upload-key/ to upload your key.
6. You need to upload your key every time you want to work with ResVault.

Now you are ready to start work. You can take training to learn how to use the system and you can find videos about certain common actions at /services/restricted-data/researchvault/use/.
